Advice to all library and administration staff re AIBE

19 October 2007

AIBE is also known as the DET Portal Login

The PSA recognises the strong customer service focus of administration and library staff front line service providers and notes the attempts of members to resolve issues relating to the implementation of AIBE (also known as the DET Portal Login).

However, the Union also notes that re-setting passwords is not a library or student support services related duty and is not on any existing Statement of Duty or Position Description we are aware of.

Furthermore, the PSA feels that TAFE management has taken advantage of this goodwill and has not followed proper consultation procedures at a state level.

For this reason the PSA strongly advises library and student support/administration staff that they do not reset passwords and carry out other AIBE troubleshooting.

We believe that this is an IT helpdesk function and that such helpdesks should be properly resourced and staffed at each Institute and accessible to students.

The PSA also notes that Institute's are not adopting a standard approach and have adopted different procedures across the Institutes.

In some areas it has created workload issues for student support service and library staff.

The PSA believes that there are a number of ways in which the potential impact can be minimised and students are not disadvantaged

  1. Properly resourced centralised IT help desks.
  2. Introduce a system where students are issued with a generic password for the first month of their enrolment which is validated by a unique identifier (such as date of birth).
  3. Extend the 90 day period whereby students continue to have access to their account after 2007 year classes' end, pending reenrollment and usage of the account.

We request TAFE provide the PSA with all of the policies and procedures regarding AIBE and that this issue be addressed by a TAFE management representative at the next JCC.

We feel that with proper consultation at the Institute and JCC level this issue could have been resolved before hand.

Please contact you PSA delegate or organiser for further advice or support.
